Engagement reports


Article Summary

There are a number of reports available to help Site Administrators (and other users with relevant permissions) understand user engagement, see which content is the most engaging, and understand the reach of content in Totara Engage.

You can find all of these reports by navigating to Quick-access menu > Reports > Manage embedded reports

User engagement report

The User engagement report can help you to identify the most active and engaged users in your organisation. This can be a useful tool for detecting talent, as you can find users who are leading and contributing to discussions and going above and beyond to develop their skills.

This is an embedded report, meaning you can configure the table to display columns as required.

ColumnDescription

Creator

The user's full name. You can click the name to view the user's profile page.

Resources created

Shows the total number of resources created by the user, including public, private and restricted resources.

Public resources created

Shows how many public resources the user has created.

Private resources created

Shows how many private resources the user has created.

Restricted resources created

Shows how many restricted resources the user has created.

Comments under other contributions

Shows the number of comments left by the user on resources and playlists.

Playlists created

Shows how many playlists the user has created.

Resources/playlists linked to workspaces

Shows the total number of resources and playlists the user has shared with workspaces.

Workspaces owned

Shows the number of workspaces for which the user is a Workspace Owner.

A member of workspaces

This column displays a list of all workspaces owned by the user. Here you can click the name of a workspace to go to the workspace itself.

Resource engagement report

As a Site Administrator it is useful to know how engaging your resources are. This can help you to understand what works well and what doesn't work for your users. More engaging resources will have more likes, shares, comments, and views.

The Resource engagement report is an embedded report showing a range of information about all of the resources on your site. You can add or remove columns from the table as required.

ColumnDescription

Creator

The resource creator's full name. You can click the name to view the user's profile page.

Resource

The full title of the resource. Here you can click the title to view the resource itself.

Playlists

Shows how many playlists the resource has been added to.

Likes

Shows the total number of likes the resource has received across the site.

Comments

Shows the total number of comments the resource has received across the site.

Shares

Shows how many times the resource has been shared by users.

Workspaces

Shows how many workspace libraries the resource features in.

Views

Shows the total number of views the resource has received across the site (including in playlists and workspaces).

Visibility

Shows the current visibility status of the resource, from the following options:

  • Public: The resource is visible to all users on the site
  • Private: Only visible to the resource creator
  • Restricted: Only visible to the specific people selected by the resource creator

Created date

Displays the time and date that the resource was created.

Topics

Shows the list of topics to which the resource has been assigned.

You can filter the list of resources by resource creator (if you want to see a specific user's contributions) or by visibility.

Playlist engagement report

As with resources, it is also useful to understand how users are interacting with the playlists on your site, as this can help you and your users to create more effective playlists.

You can edit this report to add or remove columns from the table.

ColumnDescription

Playlist title

The full title of the resource. Here you can click the title to view the resource itself.

Visibility

Shows the visibility status of the playlist, from the following options:

  • Public: The resource is visible to all users on the site
  • Private: Only visible to the playlist creator
  • Restricted: Only visible to the specific people selected by the playlist creator

Resources

Shows the number of resources included in the playlist.

Rating and votes

Displays the average rating of the playlist and the total number of ratings the playlist has received.

Comments

Shows the total number of comments the playlist has received.

Shares

Shows how many times the playlist has been shared by users.

Workspaces

Shows how many workspaces the playlist features in.

Creator name

Displays the playlist creator's name as a link, which you can click to view the user's profile.

Creation date

Shows when the playlist was first created.

Last updated date

Shows when the playlist was last updated (e.g. a new resource was added).

Number of views

Shows how many times the playlist has been viewed.

Topics

Shows the list of topics to which the resource has been assigned.

You can filter the list of resources by playlist creator (if you want to see a specific user's contributions) or by visibility.

Workspace activity and engagement report

Alternatively, you may want to see the level of engagement for each of the workspaces on your site. This embedded report allows you to easily compare how much users are interacting with different workspaces.

ColumnDescription

Workspace title

The full title of the workspace. Here you can click the title to view the workspace itself.

Discussions

Shows how many discussions have been started in the workspace.

Comments in discussions

Shows the total number of comments across all discussions in the workspace.

Linked playlists

Shows how many playlists have been linked to the workspace.

Linked resources

Shows how many resources have been linked to the workspace.

Files

Shows how many files have been uploaded in discussions.

Owner

Shows the name of the Workspace Owner for the workspace. You can click the user's name to view their profile.

If the workspace doesn't have an owner then this will display as Unassigned.

As a Site Administrator you can use this report to identify any workspaces without an owner. For any workspaces with an Unassigned owner you can manually assign a new owner.
