    Create global report restrictions


    Article Summary

    Once you have enabled global report restrictions you can then start to create your restrictions. 

    1. Go to Quick-access menu > Reports > Report builder > Global report restrictions.
    2. Click the New restriction button.
    3. Assign a name and an optional description (you can also specify whether the restrictions will be active immediately - this can be activated later).
    4. Click Save changes.

    This creates the restriction, saves the details specified under the General tab, and enables the View records related to and Users allowed to select restriction tabs.

    After creating a report restriction you can decide which records can be viewed. The report will only show records related to users specified under this tab.

    1. Go to the View records related to tab.
    2. Select the type of user group from the dropdown menu under the Assigned groups section.
    3. Select the specific group or groups of users.
    4. Click Save

    The types of user groups you can choose from are Audience, Position, Organisation, or Individual Assignment depending on your requirements.

    In the case of groups (Audience, Position, Organisation) of users the Assigned users list will be updated dynamically to reflect changes in group membership. If a user falls out of an assigned group their records will no longer be visible via this restriction.

    User allowed to select restrictions

    To restrict which users are assigned to (and can apply) this restriction, follow these steps:

    1. Go to the Users allowed to select restriction tab.
    2. Select the type of user group from the dropdown menu under the Assigned groups section.
    3. Select the specific group/ groups of users.
    4. Click Save.

    As user groups are selected and specified, the Assigned users section of the page is dynamically updated to display the individual users selected. Only users specified in this list can apply this restriction to reports.

    In the case of groups (Audience, Position, Organisation) of users the Assigned users list will be updated dynamically to reflect changes of group membership. If a user falls out of an assigned group they can no longer apply the restriction and may have access to more data than before.
