Workspace tabs


Article summary

When you visit a workspace in Totara Engage, there are four tabs you can use. These are Discuss, Library, Members, and Audiences. You can find more details about each of these tabs below. 


Discuss

One of the main functions of a workspace is facilitating discussion between its members. Users can start a discussion by creating a post, then other users can reply to continue the conversation. The Discuss tab shows any discussions started by members of the workspace.

Library

The Library tab shows a list of resources that have been added to the workspace. Here you can click a card to view the resource, or click the add icon () to add a new resource, survey or playlist to the workspace. Additionally you can add existing resources or playlists to the workspace library, or add existing courses.

You can filter and sort this tab as follows:

  • Type: Filter the list to show only Resources, Surveys, Playlists, Courses (or All types)
  • Tag: Filter the list by tag
  • Sort by: Sort the resources in order of when they were created (Created), how many likes they have received (Popular), when they were shared (Date shared), or in alphabetical order (A-Z)

You can also use the search bar to look for specific resources within the workspace.

The Workspace Owner and Site Administrator can remove resources from the workspace's library by clicking the icon of three dots () and selecting Remove.

Note that you cannot create Hidden resources or playlists in a workspace library. If you want to create content with the visibility set to Hidden you will need to do this in your own library.
Resources, surveys and playlists added to a private workspace's library will not be available and cannot be shared outside of the workspace.

Members

The Members tab shows all of the users who have joined the workspace. You can sort the list of users by first name in alphabetical order (Name) or based on when they joined (Recently joined).

Each user is shown in a card displaying their name, email address and profile picture. You can click a user's name to view their public profile. If a user was assigned to the workspace via an audience, you can click the icon of two people (manage_participation(1)) to see which of the assigned audiences they are in.

You will only be able to see if a user has been assigned via an audience if you have the capability to manage audiences in the workspace.
You can set which information is displayed on the user profile summary card by navigating to Quick-access menu > Users > User profile summary card.

Audiences

The Audiences tab shows any audiences that have been assigned to the workspace. In this table you can see the Audience name and Audience ID for each assigned audience, as well as the number of members in each audience. If you have assigned a large number of audiences to a workspace you can use the search bar to look for specific audiences.

You will only be able to view the Audiences tab if you have the capability to manage audiences in the workspace. Standard workspace members will not see this tab.
