Add tasks to a Totara goal

When setting up Totara goals, you can break each goal down into smaller, more manageable steps, which are called tasks. Tasks should be discrete, clear tasks that contribute to the broader goal. As tasks can be related to training, you can link each task to an individual course in the system.

Note that managers with the Create/delete/edit a goal for another user (perform/goal:managepersonalgoals) capability can also create, edit, update, and delete tasks for their team members' goals.

Create a task

To add a new task to one of your own goals, follow these steps:

  1. Navigate to Develop > Goals, then click the name of the goal for which you'd like to add tasks.
  2. Under the Tasks tab, type a description of the required task in the text field.
  3. Click Save.
  4. Repeat to add as many tasks as required.

Add a course to a task

Many goals (and their associated tasks) will involve the user completing related learning. Tasks allow you to seamlessly integrate your site's learning content into Totara goals, with convenient access to the required course(s) from within the goals interface.

Note that only one course can be added per task, so if you want to add multiple courses to a goal you will need to create a separate task for each one.

To add a course to a task, follow these steps:

  1. While adding a new task or editing a task, click Add course.
  2. Browse for the course you want to add (optionally using the search bar and filters) and select the relevant course for the task.
  3. Click Add.
  4. Optionally add a description for the task. Note that a task with a linked course does not require a description.
  5. Click Save.
As with managing tasks, managers with the Create/delete/edit a goal for another user (perform/goal:managepersonalgoals) capability can also add courses to their team members' goals. Note that the courses available to select will be those that are visible to the manager, and may not be available to the team member.

Edit a task

To edit an existing task on one of your own goals, follow these steps:

  1. Navigate to Develop > Goals, then click the name of the goal containing the task you wish to edit.
  2. Click the icon of three dots () next to the task you wish to edit.
  3. Click Edit.
  4. Make the required changes, then click Save.

Remove or replace a linked course

While editing a task, you can remove or replace a linked course by following these steps:

  1. Click the cross icon () on the course card to remove it.
  2. You can then click Add course to select a new course for the task.

Delete a task

To delete an existing task on one of your goals, follow these steps:

  1. Navigate to Develop > Goals, then click the name of the goal containing the task you wish to delete.
  2. Click the icon of three dots ( ) next to the task you wish to delete.
  3. Click Delete.

Mark a task as complete or incomplete

Users can mark individual tasks as complete or incomplete regardless of the status of the overall goal.

To mark a task as complete (or incomplete), follow these steps:

  1. Navigate to Develop > Goals, then click the name of the goal containing the tasks you wish to update.
  2. Click on the checkbox next to a task to mark it as complete.
  3. You can click the checkbox again to untick it.
Tasks do not contribute to the goal's progress, which must be updated separately. Also note that marking a task as complete or incomplete will not affect the completion of a linked course. Likewise, the task will not be automatically marked as complete when the user completes the linked course.
