Reporting on Totara goals

When using Totara goals, you can use reports to provide insight into your team's performance, and help you to understand how your site's learning content contributes to business objectives.

There are two report sources related to Totara goals: Totara Goal Status and Totara Goal Tasks & Courses. You can use these to configure reports to help Site Administrators, managers, and your L&D team to assess how Totara goals are used across your organisation and its teams. 

Here we have provided several examples of useful reports you could create, but you can customise any of these reports based on your exact requirements.

Manager reporting

Is my team setting goals?

Managers can check that their team members are setting goals by following these steps:

  1. Create and edit a report using the Totara Goal Status report source.
  2. Add a mandatory User's Manager(s) filter. Alternatively you could use global report restrictions to limit the results to a specific manager's team members.
  3. For the Goal name column, set the Aggregation or grouping to Count.
  4. When viewing the report, select a manager using the User's Manager(s) filter. You can then see the number of goals for each user in the selected manager's team.
Note that team members with zero goals will not be shown in this report.

Is my team achieving their goals?

Firstly, managers can check that their teams are achieving their goals using the Totara Goal Status report:

  1. Create and edit a report using the Totara Goal Status report source.
  2. Add a mandatory User's Manager(s) filter. Alternatively you could use global report restrictions to limit the results to a specific manager's team members.
  3. Add the Goal target date and Goal closed date columns.
  4. When viewing the report, select a manager using the User's Manager(s) filter. You can then see whether users in the selected manager's team are completing their goals on time.

Alternatively, you can use the Totara Goal Tasks & Courses report:

  1. Create and edit a report using the Totara Goal Tasks & Courses report source.
  2. Add a mandatory User's Manager(s) filter. Alternatively you could use global report restrictions to limit the results to a specific manager's team members.
  3. Add the Goal target date and Goal closed date columns.
  4. When viewing the report, select a manager using the User's Manager(s) filter. You can then see whether users in the selected manager's team are completing their goals on time.

Learning and development reporting

Are teams setting goals?

L&D teams may want to review the extent to which the various teams in their organisation are using goals.

To do this, follow these steps:

  1. Create and edit a report using the Totara Goal Tasks & Courses or Totara Goal Status report source.
  2. Add the User's Manager Name(s) column. Decide whether you want to include the individual team members by adding or removing the User's Fullname column.
  3. For the Goal name column, set the Aggregation or grouping to Count.
  4. When you view the report you can see how many goals have been created for each manager's direct reports.
Note that team members with zero goals will not be shown in this report.

Are employees using learning resources to achieve their goals?

You can also use reports to see how many courses are linked to each goal, giving you an idea of how simple or complex your users' goals are. If goals generally don't have linked courses, then this may indicate that learners and their managers aren't identifying learning opportunities for their goals.

To see a report showing how many courses are assigned to each goal, follow these steps:

  1. Create and edit a report using the Totara Goal Tasks & Courses report source.
  2. For the Course name column, set the Aggregation or grouping to Count.
  3. Save and view the report.
  4. You can now see the number of courses assigned to each goal.

Which courses are most impactful for employee or organisational success?

L&D teams often need to prove the effectiveness and value generated by the training material they create. To do this, users can create reports to see how many goals link to each course.

  1. Create and edit a report using the Totara Goal Tasks & Courses report source.
  2. For the Goal name column, set the Aggregation or grouping to Count.
  3. Save and view the report.
  4. Set the Course name filter to is not empty (NOT NULL).
  5. You can now see the number of goals that link to each course.
