What are approval workflows?

Approval workflows allow users to create and submit applications for approval within Totara. One or more designated approvers can then respond in Totara to any applications received. There can be multiple stages of submission and approval before an application is considered completed. You can see a flowchart demonstrating the structure of approval workflows in this PDF document.
Approval workflows is currently an experimental feature. It requires a developer to create an approvalform plugin to define the form data which should be collected. The plugin can also extend the basic workflow configuration features found in the user interface. Look for developer notes throughout this documentation.
A simple form plugin is included in Totara 18 for demonstration purposes.
Getting started with approval workflows
Note that in order to use approval workflows you will require assistance and input from a developer, as you will need to create forms to be used in the workflows. You can see more information about this in the developer documentation.
- First, you must enable approval workflows in Totara's Experimental features.
- You will need to add at least one workflow type, and create an approval form from a plugin, in order to create a new workflow.
- When you are ready for users to create applications, you will also need to add the Approval parent and the Applications link (which takes users to the applications dashboard) to the main menu via Quick-access menu > Navigation > Main menu. You could also link to the applications dashboard in some other way.
