Export a report

You can export reports to a variety of file formats by following these steps: 

  1. Click Report in the main menu.

  2. Select the report you wish to export. 

  3. Apply any filters or searches as required. 

  4. Scroll to the bottom of the page. 

  5. Select a file format from the Export as dropdown menu.

  6. Click Export

Reports can be exported in the following formats: 

  • CSV

  • Excel

  • ODS

  • PDF landscape

  • PDF portrait

Note that any hidden columns will be included in the export. As well as the contents of the report, exported PDFs will also include the report's description (if there is one).

Background exports

When background exports are enabled, you export your reports as normal, as detailed above. When you export your report:

  1. A message will then display at the top of the page: ‘Your export has been queued. You will be notified when it is ready for download. You can also track the export progress here’.

  2. When an export is completed, you’ll receive a notification (and email by default) with a link to download the file. If the export fails, you’ll receive a notification with details and a link back to the report.

Viewing and managing background exports

Users can view their queued report exports via:

  • The link in the export notification

  • The Report exports queue link on their profile page

From here, users can download ready exports or cancel pending ones. Users can also view the list of their exported reports from the My reports page (/my/reports.php)

Site Administrators can view all queued, processing, and completed exports from the Manage reports page (Quick-access menu >  Reports > Report export queue). This view includes additional details such as error messages for failed exports.

Note that the option to select Report export queue will only be available if Background export is enabled.

From the Report exports queue page you can:

  • View the Status of the report export:

    • Queued: The export job is in the queue and waiting to start

    • Complete: The export completed successfully but has not been downloaded yet

    • Complete (Downloaded): The export completed successfully and the file has been downloaded

  • Delete a queued export by clicking the cross icon () in the Actions column

  • Download a completed report export by clicking the name of the report in the Actions column
