Manage skills assigned to a position

Positions within a position framework can each have a set of skills assigned to them, with a required proficiency level defined for every skill. This allows the organisation to define the skill requirements for each position, and to flag skills as particularly important through the Position critical and Position strategic indicators.

Skill assignments can be managed individually or in bulk, and each skill's status can be tracked as it moves between draft, active, and archived states.

Assign skills to a position

To assign skills to a position, follow these steps:

  1. Navigate to Quick-access menu > Positions.

  2. Select the relevant position framework.

  3. Click the icon of a person with connected circles () next to the position to be managed to open the skills panel.

  4. Click the three-dot icon () above the search field and select Assign skills.

  5. Select one or more skills.

  6. Click Add.

  7. Optionally select Activate assignments on confirmation, then click OK to confirm.

Perform bulk actions

You can also complete actions in bulk when managing a position’s assigned skills:

  1. Navigate to Quick-access menu > Positions.

  2. Select the relevant position framework.

  3. Click the icon of a person with connected circles () next to the position to be managed to open the skills panel.

  4. Select one or more skills from the panel.

  5. Click Bulk actions.

  6. Select one of the available actions: Activate, Archive, Delete, or Edit proficiency level.

  7. If editing the proficiency level in bulk, set a new required proficiency level for the selected skills; if the selected skills belong to different frameworks, a proficiency value must be set for each framework.

  8. Confirm the action.

Skill panel information

When the skills panel is opened for a position, the list displays the following information for each assigned skill:

  • Skill name

  • Required proficiency level

  • Assignment status

  • Position critical and Position strategic indicators, where applied

From the skills panel, you can complete several other actions.

Functionality

Description

Search

Filters the list of assigned skills based on skill name.

Filtering

Filters can be applied by status, framework, and competency role.

Sorting

Skills can be sorted alphabetically by name (A–Z) or by most recently updated.

Assign skills

Allows the Site Administrator to select one or more skills to assign to the position, and to activate the assignment or save it as a draft.

Bulk actions

Allows the administrator to activate, archive, delete, or edit the proficiency level of multiple selected skills at once.

Skills assigned through a competency role are excluded from bulk archive actions.

Individual skill actions

You can complete the following actions for individual skills on the skill detail panel.

Functionality

Description

Edit proficiency level

Click the three-dot icon () next to the skill, click Edit proficiency level, set the new required proficiency level, and confirm.

Mark/unmark as Position critical

Click the three-dot icon () next to the skill and click Mark as Position critical; a flame icon () appears next to the skill. To remove the flag, reopen the menu and select the corresponding unmark option.

Mark/unmark as Position strategic

Click the three-dot icon () next to the skill and click Mark as Position strategic; a chess figure icon () appears next to the skill. To remove the flag, reopen the menu and select the corresponding unmark option.

Activate

Click the three-dot icon () next to the skill, click Activate, and confirm the action.

Archive

Click the three-dot icon () next to the skill, click Archive, and confirm the action.

Delete

Click the three-dot icon () next to the skill, click Delete, and confirm the action.

A skill can be marked as both Position critical and Position strategic at the same time. Both indicators affect reporting only and do not change how the skill is assessed.
