Create a set audience

Set audiences are fixed and can only be updated manually, meaning they are not a good choice for audiences that are likely to change frequently. If you have a fixed group of individuals (perhaps a department or project group) then you may wish to create a set audience for them.

To create a dynamic audience, follow these steps:

  1. Go to Quick-access menu > Audiences.

  2. Select the Add audience button ( ).

  3. Complete the settings under the Edit details tab as required:

Name

The name of the audience should be brief and descriptive.

Context

The context within which the audience will apply. This could be System or a specific tenant or course.

The context defines the level in Totara where the audience applies. This setting is important when audiences are used for assigning roles (such as Course Creator, Trainer, or Manager) because it controls where the role permissions are active.

Audience ID

Unique audience ID.

This can be used to perform bulk actions with audience members.

Type

The audience type can be Set or Dynamic.

From the dropdown options select Set.

Description

A description of the audience to provide more information.

Start date

If a start date is provided, access to dashboards granted by this audience will not be available until this date.

Audience members will not be automatically updated until this date.

End date

If an end date is provided, the access to dashboards granted by this audience will not be available after this date.

Audience members will not be automatically updated after this date.

Alerts

The options are:

  • Do not send alerts: Alerts will not be sent to members when they are added or removed from this audience.

  • Send alerts to affected members only: If selected, notifications will be sent to members when they are added to the audience, or when they are removed.

  • Send alerts to all members: As above, but for all members.

Tags

Add tags to your audience.

  1. Click Save changes.

You will then be taken to the Edit members tab for this new audience.
