Insights turn skills and position data into clear, actionable information about workforce readiness. They help managers and administrators understand where employees are proficient, where gaps exist, which positions may be at risk, and where development effort should be focused. Rather than reviewing individual skill records one by one, users can see patterns such as low coverage, high coverage, missing critical skills, recommended candidates, or slow time to readiness.
This supports better workforce planning because organisations can identify capability risks earlier, compare readiness across positions and skills, and decide where training, reassessment or recruitment may be needed.
Insights are shown in Totara Skills reports and side panels; users can open the relevant report, apply filters, search for a position or skill, and then open the details panel to review the available insight information.
By combining insight messages, overview metrics, employee and position details, and time-to-readiness data, Totara Skills helps organisations move from raw skills data to practical workforce readiness decisions.

Position insights provide an overview of the current state of a position in the organisation. They show how well employees match the skills required for the position, whether there are skill gaps, and whether suitable internal candidates are available.

Skill insights provide an overview of the current state of a skill in the organisation. They show how many employees are assigned to the skill, how many are proficient, where gaps exist, and which positions require the skill.
Insight configuration
Site Administrators can configure thresholds that control when insight messages are displayed. These settings allow Totara Skills insights to be adjusted to match the organisation's expectations, risk tolerance, and reporting needs. Site Administrators can also configure how the cron processes insight data.
